1. Introduction
Teddy (“the Platform”) is a web-based operations management application provided under license by 2020 Ventures, LLC (“we,” “us,” or “our”). This Privacy Policy explains how we collect, use, store, and protect information when you use the Platform.
By accessing or using Teddy, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the Platform.
2. Information We Collect
We collect the following categories of information:
Account Information
When an administrator creates an account on your behalf, we store your name, email address, and a securely hashed password. We never store plaintext passwords.
Transaction Data
Financial transaction records entered into the Platform, including dates, amounts, descriptions, categories, and associated event or fundraiser names.
Requester Information
When submitting a reimbursement request or logging a cash collection, you may provide your name, email address, phone number, and a description of the transaction. Email addresses are used solely for identity verification and status notifications.
Uploaded Files
Receipt images, check images, or other documents you upload in connection with transactions. These files are accessible only to authorized administrators.
Access Codes
When you request access via email, we generate a temporary, time-limited access code. These codes are stored in hashed or plaintext form and expire automatically.
3. How We Use Your Information
We use the information we collect to:
- Operate, maintain, and provide the features of the Platform
- Authenticate users and verify identity for transaction submissions
- Generate financial summaries and reports for authorized administrators
- Display anonymized, aggregate financial data in the public Treasurer's Report view
- Send transactional communications such as access codes
- Comply with legal obligations
4. Information Sharing and Disclosure
We do not sell, rent, or trade your personal information. We may share information only as follows:
- With your organization's administrators: Authorized administrators within your organization can view transaction records, submitter information, and uploaded files as necessary to manage PTO finances.
- In the Treasurer's Report: The public-facing summary view displays only aggregate financial data. It never includes individual names, contact information, check numbers, or uploaded images.
- As required by law: We may disclose information if required to do so by law, legal process, or governmental request.
5. Data Storage and Security
We implement reasonable administrative, technical, and physical safeguards to protect your information. Passwords are hashed using industry-standard algorithms. Access to the Platform is controlled through role-based permissions.
Uploaded files are stored securely and are accessible only to authenticated administrators. In production deployments, files may be stored using encrypted cloud storage services.
No method of electronic storage or transmission is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.
6. Data Retention
We retain transaction records and associated data for as long as the organization maintains an active account. Temporary access codes expire automatically and are not retained beyond their expiration. Organizations may request deletion of their data by contacting us.
7. Children's Privacy
The Platform is not directed at children under 13 years of age. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will promptly delete it.
8. Your Rights
Depending on your jurisdiction, you may have the right to access, correct, or delete your personal information. To exercise these rights, contact your organization's administrator or reach out to us directly.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify users of material changes by updating the effective date at the top of this page. Continued use of the Platform after changes constitutes acceptance of the updated policy.
10. Governing Law
This Privacy Policy shall be governed by and construed in accordance with the laws of the State of Wisconsin, without regard to its conflict of law provisions.
